Question 1

For a free sample we get from 3rd party supplier which we want to see reflected in stock. Should we then just check the free sample flag on the item?

Is this an approved flow?

will this also work with Z101? and with Z604?

Solution à Yes, if you put the Free item flag at item level in PO then it will work and also no accounting document get generated.( material should be valuated at moving average price).

For material having standard price, accounting gets generated while doing GR but system also adjust it at same time. No GR/IR posting is kept open.

Also, quantity gets updated in material stock. i.e increase in stock.

This will work with Z101 also but not with Z604 because for Z604 as per our design GR is not allowed. We only post invoice in Z604 PO.

Question 2

In case of intercompany; e.g. the example in attachment; is the solution also as simple? Being just check the free sample checkbox? Will this generate requirements free of charge in the plant UBI so when they ship this will work normally as a sales free sample.

Solution à Yes, incase of intercompany flow, requirement will get generate in sending plant when we tick the Free item flag.

Question 3

What in case the sample is free of charge BUT Bekaert receives an invoice from the freight company or from customer’s broker with duties charged. How can such an invoice then be booked against such a line item free of charge?

Solution à Please check the following standard SAP note for this question.

   SAP notes

Reproducing the Issue
1. Create a purchase order in ME21N with a material free of charge.
2. You want to add delivery costs but there´s no condition tab where you can enter them.

Cause
l For a free item, you can not maintain conditions.
l The 'Free Items' indicator in the overview is only used to facilitate the switching off of the Invoice Receipt flag and the GR-based IV flag.
l This is a standard behavior. In case IV indicator is not set, system doesn't allow to maintain conditions. In transaction ME21N, even the
condition tab disappears when you unset 'IV indicator' or tick 'Free'.

Resolution
There is a workaround:
After entering the Free item you can create a second line item for a Service and enter in this new item the delivery costs. This will allow you to
control the postings for the delivery costs and you will not need to post these costs as 'Unplanned Delivery costs'. Therefore you can maintain the
link to the PO.
